A Communications and Events agency, based in Sandton, has a vacancy for an experienced Events Director with 8 – 10 years management experience in the events industry.
JOB DESCRIPTION:
Leadership:
&• Participate with the Executive team in developing a vision and strategic plan to
guide the organisation
&• Identify, assess, and inform the Executive team of internal and external issues that
affect the organisation
&• Act as a professional advisor to the Managing Director on all aspects of
the organisation’s activities
&• Encourage, foster and manage effective team work in the department
&• Oversee and track the department’s performance
&• Represent the organization at body industry related functions and events
Operational planning and management:
&• Develop an operational plan which incorporates goals and objectives that work
towards the strategic direction of the organization
&• Ensure that the operation of the department meets the expectations of its clients
&• Oversee the efficient and effective day-to-day operation of the department
&• Ensure that personnel, client, and management files are securely stored and
privacy/confidentiality is maintained
&• Provide the Executive team with quarterly and annual reports of the department
&• Oversee the planning, implementation, and evaluation of the department’s
systems and structures, ensuring quality is not compromised
&• Ensure that the caliber of clients serviced by the events team contribute to the
organization’s mission and reflect the priorities of the Managing Director.
&• Monitor the day-to-day delivery of the department and to maintain or improve
quality.
&• Oversee the planning, implementation, execution, and evaluation of special
projects.
&• Oversee and manage all client and supplier relations.
&• Attend and be present at all onboarding/briefing meetings with new clients.
&• Ensure the organization’s brand is marketed and visible in the market place.
Human resources planning and management:
&• Determine staffing requirements for the department
&• Oversee the implementation of the human resources policies, procedures and
practices including the development of job description for all staff
&• Establish a positive, healthy and safe work environment in accordance with all
appropriate legislation and regulations
&• Recruit, interview and select staff that have the right technical and personal
abilities to help further the organisation’s mission
&• Ensure that all staff receives an orientation to the organization and that
appropriate training is provided
&• Implement a performance management process for all staff which includes
monitoring the performance of staff on an on-going basis and conducting an
annual performance review
&• Coach and mentor staff as appropriate to improve performance
&• Discipline staff when necessary using appropriate techniques; release staff when
necessary using appropriate and legally defensible procedures
Financial planning and management:
&• Work with staff and the Managing Director to prepare a comprehensive annual
strategy and set financial targets
&• Work with the Business Development Manager on a database to grow the client
base of the department and reach financial targets set
&• Retain and grow existing clients
&• Participate in the financial management of the department
&• Approve expenditures within the authority delegated by the Managing Director
&• Ensure that sound bookkeeping and accounting procedures are followed in
financial planning by complying with the organization’s financial models and
mandates
&• Administer the funds of the department according to the approved budget and
monitor the monthly cash flow of the department
&• Provide the Managing Director with comprehensive, regular reports on the
revenues and expenditure of the department
&• Ensure that the organization complies with all legislation covering taxation and
withholding payments
&• Involve the staff on the departments’ monthly, quarterly and annual financial
targets and steer the performance to reach the target
