ROLE SUMMARY
The Theatre Co-ordinator will be responsible for continuous communication between the Theatre, Clinic, Clients and the Operational Manager to ensure the accurate, timorous administration of the Theatre Unit
The incumbent is also responsible for receiving all new patients, visitors, and doctors in the theatre and will further be required to assist the ward staff and the Theatre Unit Manager. Must ve willing to work overtime, when and if needed.
KEY WORK OUTPUT AND ACCOUNTABILITIES
Reception Functions
- Answer telephone within 3 rings in a friendly and professional manner
- Take messages/Convey messages for staff, patients and Doctors
- Receive ail and deliveries
- Client and supplier liaison
- Admit all patients on ME+
- Billing of all Charge Sheets
- Filing and posting of documents.
- Keep record of all files in the department
- Update list of files being sent to Archives
- Ensuring that all files that are requested for and removed and signed for
Theatre Lists
- Take accurate Bookings from Doctors/Specialist Rooms
- Prepare Theatre list as per Standard Operating Procedure to ensure online bookings through Call Centre are correct.
- Ensure all Patient information, procedure, Surgeon and Anaesthetist as well as time slot is accurate.
- Confirm Medical Aid Authorization previous day for all Patients
- Keep cancelation information updated daily
- Communicate Theatre list to Unit Manager and Staff
- Distribution of theatre list according to Clinic Specification
- Daily updates of Case Mix, Discounts and Cancelations
Billing of Charge Sheets
- Admit the patient on SAP System and ensure all information is accurate and copy of ID and Medical Aid Card is on File
- Obtain Billing Sheet from Ward RN
- Ensure Billing Sheet is signed off by allocated staff member
- Open patient account on System
- Capture Stock usage as per Charge Sheet.
- Print Account and check billing sheet versus account obtain sign-off by allocate staff member.
- On discharge, add discharge time on account
- Print final accounts x 2, ensure signed copy is on file and patient receives hard copy on discharge.
Patient Account Management
- Check Patient details (ID, NAME, MEDICAL AID)
- Cope of Medical Aid Card front and back
- Copy of Main Member ID
- Compare Auth number from Patient with Medical Aid confirmation
- Check and receive co-payment and allocate discount as per Medicross Policy and Procedure
- Manage Private Patient Payments and ensure final billing and account is available on discharge
- Ensure all monies due is paid before patients leaves facility
- Drop safe and cash up as per Policy
- Switching of Accounts and submitting of Paper Claims
- Management of Journals where applicable.
- Print weekly Age Analysis by Medical Aid
- Follow up with Medical Aid (Received, Rejection, Errors)
Petty Cash
- Request Petty Cash
- Daily management of Petty Cash
- Accurate recordkeeping of all slips and invoices
- Theatre Unit Manager and Clinic Manager to sign-off on expenditure
- Weekly Recon to Medicross Ops Centre (Tracey Davies) via Sky Net
Stock Management Order Wise Training
- Receiving of Stock and checking against Invoice/order/delivery note
- Returning of Stock
- Assist with Cycle counts
- Assist with bi-annual Stock Take
General
- Ordering: Groceries (Clinic specific)
- Stationary
- Doctor’s food where applicable
- Waste Management.
- Assist Theatre Unit Manager with quotes and any other administration task as Unit Manager’s discretion.
- Management of Attendance registers
- Leave application forms to be faxed to Operational Manager
- Management of Charisma Timesheets
- Booking and confirmation of Agency staff
- Confirm Anaesthetist for List where applicable
- Management of Training Records
- Participate in Mock Resuscitation
- Repair and Maintenance: Job Requisition to Clinic Administrator
- Obtain quotes for equipment services
- Maintenance of Service Schedules

SKILLS PROFILE
EDUCATION
- Grade 12 Certificate or equivalent NQF Level 4 Qualification, essential
WORK EXPERIENCE
- 1-2 years experience in the same field
KNOWLEDGE
- Working knowledge of Microsoft Office
- Good verbal and interpersonal communication skills
- Ability to work well under pressure and to maintain effectiveness during changing conditions
- Ability to work effectively and co-operatively with others by establishing and maintaining good working relationships
- Excellent planning, organising and control / follow-up skills are essential
- Must be customer care oriented
- Must be able to use initiative
