Marine Dynamics and their partner companies are looking for Personal Assistant to effectively manage the day-to-day requirements for one of the directors

The Personal Assistant is required to do any task that the director requires whether personal or professional. The Personal assistants will act as the director’s first point of contact with people from both inside and outside the organisation.

Tasks will include:

• maintaining office systems, including data management and filing – email and hardcopy
• arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
• screening phone calls, inquiries and requests, and handling them when appropriate
• organising and maintaining diaries and making appointments
• dealing with incoming email, faxes and post, often corresponding on behalf of the manager
• taking dictation and minutes
• carrying out background research and presenting findings
• producing documents, briefing papers, reports and presentations
• organizing and attending meetings and ensuring the manager is well prepared for meetings
• liaising with clients, suppliers and other staff

In addition to supporting the director the PA will also be required to assist other teams and departments where necessary and time permitting

Additional duties will include:

• carrying out specific projects and research
• responsibility for capturing financial information and budgets
• deputising for the manager, making decisions and delegating work to others in the manager’s absence
• being involved in decision-making processes

Please note that you may on occasion be required to perform tasks that are not part of your normal daily duties, but may be necessary due to the operational requirements of the companies.

Requirements

Qualifications and Experience:

• Five years’ experience
• Proven relationship management
• Project management skills
