We are looking for a high level and qualified executive assistant/project manager to assist the CEO with the operations and organization of the company. As an executive assistant at Adclick Africa you will work directly with the CEO and have two primary objectives: (One) eliminate stress by managing day-to-day tasks, email, calendar, and helping the CEO stay organised and (Two) learn all aspects of the business and help improve services/products, systems, and processes in order to grow the Adclick business. In other words, you will be the ‘right-hand-person’ to the CEO.
This executive assistant should be prepared to work in a team environment where self-initiative and an entrepreneurial spirit is both encouraged and highly expected. The individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organisational skills and the ability to maintain a realistic balance among multiple priorities. He/she will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Responsibilities
A representative of the CEO, the EA is a direct liaison to the management team and other key staff.
Plan, coordinate and ensure the CEO’s schedule is prioritized to strategic goals. Provide ‘gatekeeper’ role for direct access to the CEO’s time and schedule.
Assist in coordinating leadership and management team members to ensure goals, objectives, milestones, and timelines are on track. Ensuring changes are clearly communicated, and approaches are revised as needed.
General project management support and coordination. Includes, but not limited to maintaining/updating action plans, timelines, interfacing and follow-up with project team members, and scheduling meetings.
Assist in identifying and creating qualitative or quantitative measures of success and failure. Basic ability to select key parameters and monitor progress, provide updates of performance, and plot trends over time.
Market research, analytics, market trends to assist CEO in business building, development and expansion work.
Provide a bridge for smooth communication between the CEO and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
Prioritise conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
Produce and edit PowerPoint presentations, Excel spreadsheets, Memos and Word Documents and regularly use out Project management and CRM technology to generate reports for the CEO.
Partner and facilitate communication and relationships with key stakeholders, teams, and employees on behalf of CEO.
Must maintain confidentiality in relation to information, data, people, and scheduling; all with exceptional discretion and integrity.
Initiate, facilitate meetings and appointments in coordination with CEO.
Travel with CEO as needed.
Any other tasks deemed necessary by the growth of the company.
Requirements and qualifications
A desire to serve and an understanding that if everyone in an organization focuses on their strengths, everyone wins. As an executive assistant, you will be asked to do tasks that some people may think “Why can’t the CEO do that for himself?!?” The answer is he can, but the company grows bigger and faster if the CEO focuses only on the core areas that create growth. This role will be a stress reliever for the CEO and the ideal person will take pride in helping the CEO manage everyday demands and focus on driving the company’s growth.
Four to six years of professional experience required
A business related qualification/degree/diploma
Experience working for a startup company is a plus
Project management experience in media/marketing/tech is a BIG plus
Strong organisational skills that reflect the ability to perform and prioritise tasks seamlessly with attention to detail.
Strong interpersonal skills and ability to build relationships with stakeholders, including staff, clients and external partners.
Exceptional written and verbal communication skills.
