RECEPTIONIS REQUIRED IN DURBANVILLE
Requirements:
1 – 2 years’ experience as a Receptionist
Experience within a Property/ Real Estate industry an advantage
Must be fluent in English and Afrikaans
Must be Well Presented and Well Spoken
Organised and able to work under pressure
Computer Literate
Applicant must reside in DURBANVILLE or surrounding area.

Special Skills:
Traffic managers are very organized, and detail oriented. As a traffic manager, you will be expected to lead people and teams under tight deadlines, and will need work well under pressure. You should be a people-person, as much of your daily duties will revolve around interaction with different members of each department. You should be good with problem solving, and be proficient in traffic management software – Workbook.

Typical Day:
A traffic manager’s job is not an easy one. On any given day, dozens of new projects may need to be scheduled, and it is the traffic manager’s responsibility to keep everything running smoothly, despite the constant changes and demands of the agency. On any given day, the traffic manager will:
Meet with the heads of departments to learn about the status of existing projects/jobs, and details about new projects coming into the agency.
Create a schedule for new jobs, and assign those tasks using the trafficking system in place – Workbook.
Review current and future timelines and job statuses with the heads of department, and if necessary, the individuals working on the jobs.
Reschedule projects based on new or changing priorities. This often happens when clients initiate rush jobs, or the agency becomes involved in a pitch.
Report to management about the current workflow, and communicate any possible issues with too much, or too little, work coming into the agency.
Work with the production department on costs, and possible additional costs due to unforeseen costs or urgent jobs.

Follow up on outstanding invoices or invoices not reconciling with the statement.
Ensure that invoices are properly authorized in accordance with levels of authority and allocate it to the correct supplier and general ledger accounts.
Capturing of all supplier invoices on the Accounting Package, based on the supplier portfolio allocated to your portfolio.
Assist the Finance Department with solving of queries related to the invoices above,
Accurate performances of reconciliations of all creditor recons related to suppliers allocated to your portfolio.
Preparation of payments, ensuring that the quote and the invoice is aligned (no overcharging), and that a purchase order was filled out when request of payment was logged.
Submissions of the above to Head of Creditors within the reporting deadlines.
Obtaining proof of payments for these invoices and sending it out to suppliers
Ensure that all invoices requesting for payment are accompanied by the following;
Request for purchase (which will be emailed to all staff members)
Quote from the supplier
Purchases order from the accounting system (detailed every line item and price excl. VAT), and authorized / approved by a senior member of the accounting department.
Suppliers Invoices which align with the purchase order from the accounting system
Processed supplier’s invoices from the accounting system
Each and every invoice allocated and processed on the accounting system will be stamp processed and sign off by the Creditors Controller under the portfolio allocated to the Creditors Controller.
Balance Debit Order Control account monthly (New account to the system) allocated to your portfolio.
Responsible for maintenance of the Accounts Payable Masterfile for any additions / changes under your portfolio.
Responsible for the maintenance of the Standard Operating Procedures.
Responsible for maintenance of all filing of invoices after payment run allocated to portfolio
Maintain the applicable cash flow section
Process the wages
All ad-hoc duties, given which is in line with allocated portfolio
