Events Coordinator

The Corporate Communication Division creates a competitive advantage for Stellenbosch University (SU) by strategically positioning the brand favourably and by implementing effective communication programmes and institutional events for various stakeholders. The Division offers a dynamic and interesting work environment. Most of the Division’s activities are deadline-driven, fast-paced and linked to extended working hours. The Events Coordinator will report to the Deputy Director: Corporate Brand Identity.
The Events Coordinator is responsible for various institutional events and special functions on the University calendar in support of the Division’s Integrated Communication Strategy (ICS) and University objectives. The purpose of the role is to promote a positive image of the University and its brand identity through institutional opportunities for engaging with various stakeholders in the interest of the institution.
Duties:
- Planning, coordinating and implementing institutional calendar events and special functions aligned with the Integrated Communication Strategy and divisional objectives, which in turn are aligned with the SU Vision 2040 and the Strategic Framework 2019 – 2024;
- Functioning as project coordinator by liaising with other role players for all facets of institutional events from the legal and compliance aspects, budgeting and approvals, invitations, venue bookings, catering, vendor management, entertainment, speeches, marketing, branding and publicity, up to a post-event debriefing and evaluation;
- Compiling protocols, guidelines, templates and procedures for events on the various levels, e.g. graduation ceremonies, welcoming of first-year students, staff assemblies, inaugural lectures and special events;
- Implementing and maintaining the appropriate events-related database, systems, processes and equipment;
- Planning and developing programmes, agendas, briefing documents, budgets and services according to stakeholder requirements;
- Advising/training internal stakeholders on events planning and coordination, and protocol arrangements.
Requirements:
- Relevant Bachelor’s degree or relevant three-year diploma with at least three years’ experience in a similar position. Candidates with a one-year diploma or certificate qualification may be considered where a candidate provides evidence of more than five years’ relevant experience and exceptional abilities;
- Excellent verbal and written communication skills and proficiency in English and Afrikaans;
- Excellent planning, organising and coordination skills;
- Professional appearance, energetic and passionate about career, strong sense of decorum and excellent interpersonal skills;
- Ability to function effectively in a multilingual and multicultural environment;
- Ability to work irregular hours and travel (valid driver’s licence essential);
- Ability to function well in a high-pressure environment;
- Knowledge of protocol arrangements;
- Computer literacy in the MS Office suite.
Recommendations:
- Qualification/experience in project management;
- Knowledge of public relations/reputation management/brand alignment;
- Experience in a stakeholder engagement environment;
- Knowledge/experience of customer relations database and/or digital RSVP system.
