Magnette is an established boutique events management agency, based in Cape Town, with national and international clients and projects. Our team is small, however, our clients and projects are significant and well-established.
We are looking for an Events & Project Manager to join our team with a minimum of eight years work experience in event and project management and a track record of having been involved in reputable events. Conferencing and experiential marketing experience will be highly advantageous as will any previous experience in an agency environment. The initial engagement will be a full-time 3-month contract with the potential of being offered a permanent position in 2019 based on performance and organisational fit.

This role requires that the candidate has a willingness and ability to work within a team, but also on their own with minimum supervision. The successful candidate will be required to set and manage their own deadlines and workflow.
This is an exciting opportunity for a results-driven individual as quarterly performance reviews will take place and performance will be rewarded with performance bonuses.
Responsibilities:
Event Management
Ability to manage a project/event from concept through to implementation
Ability to generate creative presentations and proposals on event and project concepts
Creation of accurate cost estimates and event budgets
Creation of event briefs, production schedules and all other relevant documentation that is required
Attend client and supplier meetings and site visits
Event and show production management
Coordination and Supervision
Coordinate, manage and monitor all suppliers involved in our events/projects and ensure they are always meeting Magnette’s and our client’s standards
Coordinate, manage, guide and monitor the workings of the event coordinators i.e. proposals and budgets, project plans, supplier dealings (activation/event schedules and production schedules)
Financial
Processing, capturing and submission of supplier invoices to accounts team, and weekly cash flow for supplier payments (prioritizing according to current projects and client payments)
Management and reconciling of projects/event budgets
Best Practices
Improve processes to maximise output
Monitor adherence to systems and procedures
Production and Suppliers
Constantly on the lookout for new innovative suppliers, check references, and ensure competitive pricing.

Requirements
Inherent requirements:
Must have own vehicle (in good working condition) and a valid driver’s license
Must be willing to travel occasionally
Must understand the after-hours requirements of this industry. Most events and activations take place outside of business operating hours.
Computer literacy: Proficient in all Microsoft products, for example: MS Word / Excel / PowerPoint / Outlook
Educational requirements
Candidate must possess at least a Bachelor’s/College Degree, Marketing, Communications or equivalent.
