Fax: 086 662 9809 Role: Overseeing the General HR Administration by verifying and checking all information being submitted to HR Manager meets compliance and adheres to relevant and applicable Labour and other laws. Duties:
Is required to have a strong operational focus centered on identifying weak areas from a compliance perspective, advise and ensure smooth implementation of recommendations made by Management.
To provide a full generalist HR function to the business, including providing accurate and timely processing of company payroll, recruitment, performance management, training and development, IR and general HR administration and reporting. You will be given mandate to provide assurance on the regulatory risks and controls within the business.
Developing own skills and knowledge of relevant best practice and ensure appropriate skills and knowledge transfer. Actively and consistently maintain high standards of professionalism in all aspects of personal presentation and delivery. Follow through to ensure that personal quality and productivity standards are consistently and accurately maintained including meeting of all deadlines in assisting the HR Manager. ï§ Corresponding with Supervisors on overtime verification, ensuring audit requirements are met
ï§ Applying strict measures in accordance with Company policies and Labour laws on payment of staff e.g. distribution of payslips to staff and signing off eliminating ghost employees
ï§ Checking and verifying of payroll schedule ï§ Final compilation of payroll report for HR Manager
Record Management
ï§ Checking of personnel filing of documentation, ensuring audit requirements are met ï§ Verifying all documentation is filed i.e. tax registration, IRP5, etc. as per requirements
Leave Management and Administration
ï§ checking of leave forms submitted for correctness and accuracy
ï§ checking and verifying of leave report
ï§ submitting final report to HR Manager Recruitment and Selection
ï§ Running and ensuring online advert platform is active and running
ï§ Placement of adverts online and setting up interviews
ï§ Screening of CVs
ï§ Conducting of interviews of entry/junior level position ï§ Conducting of reference check
ï§ Compiling of offer of employment letters for junior and semi-skilled employees
ï§ Providing of all pre-employment documentation and starter pack info
ï§ Printing and preparation of contracts of employment, company rules, employee details, offer letters
ï§ Induction of new employees on Company Policies and Procedures ï§ Official handover to departmental head of employee after orientation
ï§ Termination
ï§ Receiving of termination letter (resignation)
ï§ Handover of dismissal letter where applicable
ï§ Conducting of exit interviews
ï§ Checking and compiling of UI19s for completed projects, contract expiry, etc. Job Description
ï§ preparing of junior and semi-skilled employee job description according to Industry laws ï§ assisting HR Manager in the performance management process Industrial Relations
ï§ Advising line Supervisors regarding disciplinary action and procedures in line with HR and company policies
ï§ Advising on initiation of disciplinary action
ï§ Compiling and investigating of Disciplinary hearing charges
ï§ Holding enquiries for further investigative purposes in assisting to compile charges
ï§ Assist in obtaining written and accurate statements from employees ï§ Acting as initiator on behalf of company at Disciplinary hearings
ï§ Sitting in and interpreting in Disciplinary hearings (where employee has required)
ï§ Assist in preparing statements and bundles for Conciliation and arbitration for CCMA cases
ï§ Liaising with CCMA and NBCEI on behalf of employer to obtain updates on cases and matters of dispute lodged against company and reporting to HR Manager
ï§ Acting in capacity of initiator (or assisting Supervisors) in Counselling of Employees for minor transgressions and advising on further action with advice from HR Manager
ï§ Handling and resolving employee grievances and reporting on these to HR Manager
Training and Development
â Assisting with compilation of training schedule
â Liaising with service providers for facilitation of training
â Liaising with relevant department for training scheduling
Compliance
– General HR o Responsible for communicating and distributing of HR information at staff general meetings on a weekly basis
o Placing of memos and circulars where staff can easily access the information
o Conducting of policy training to general staff
– National Bargaining Council of Electrical Industry
o Submitting all staff (excluding admin employees into the NBCEI database for risk portion) as per collective agreement
o Ensuring that the 30-day deadline is met in accordance with Council rules
o Checking and verifying for any discrepancies on the monthly statement
o Responsible for accurate statements and verification and submitted final report to HR Manager
o Updates and circulars are communicated to staff where applicable
– Health & Safety: OHSA & COIDA o assisting the Health & Safety Officer where required in event of IODs
o completing and checking of relevant IOD forms
o reporting to HR Manager for Umehleko loading and capturing
o compiling and updating IOD report monthly
o checking with SHE dept on any variations on IOD submitted to HR
o assisting HR Manager in liaising with third party service providers where applicable
Medical Assessments:
o Coordinating and assisting SHE dept in the organization of medical assessments on an annual basis
o On-board assessments: coordinating newly appointed employees are assessed within 90 days
o Compiling a report and follow-ups with service provider for inconclusive assessments
â Ensure compliance with
o Labour Relations Act (that laws governing the company are complied with and keeping abreast of updated Case laws relevant to industry)
o NBCEI Collective Agreement (ensure annual updates are adhered to and communicated to staff where applicable on instruction from HR Manager)
o Basic Conditions of Employment Act
o Compensation for Occupational Injuries and Diseases Act â Letter of Good Standing and liaising with Compensation Fund (with regard to the annual expiration date)
Projects: ï§ Compiling of contracts and assembling of starter packs for community labourers
ï§ Checking of submitted personnel documents and ensuring accurate and updated filing is maintained
ï§ Checking and compiling of employee database
ï§ Liaising with site foreman/supervisor/project engineer on ad hoc issues and resolving issues ï§ Completing the monthly payroll file per project and maintaining updated info
ï§ Site visitation: conducting briefings and site visits based on demand and conflict resolution/issue handling Requirements:
– National Diploma/B Degree
– 2 to 3 years experience
– Working in Construction Industry (Advantageous)
– VIP Exp
– Strong IR Background and understanding of LRA
– Ms Word/Excel/PowerPoint
– Strong conflict resolution skills
– Strong organisational skills
– Good people and communication skills
– Drivers License
