EMPLOYMENT TYPE: Permanent Role
SECTOR: Management
BASIC SALARY: R22 000 plus Provident fund
START DATE: April 2020
DUTIES:
Office
- Co-ordinating and organising meetings as required
- Co-ordinating and organising business travel, transport and accommodation as required
- Organising company events or conferences
- Facilitating and ordering office stationery and furniture requirements
- Managing office budgets
- Liaising with employees, suppliers and clients
- Implementing and maintaining procedures/office administrative systems
- Delegating tasks to junior employees
- Support the induction programme requirements for new employees
- Oversee and ensure that health and safety policies and processes are maintained
- Facilitate, coordinate, and attend meetings as required
- Oversee relevant record keeping
Facilities
- Overseeing and negotiating contracts and providers for services including security, parking, cleaning, catering, technology and so on
- Supervise multi-disciplinary teams of employees including cleaning, maintenance, grounds and security
- Ensuring that basic facilities, such as water and heating, are well-maintained
- Oversee and manage budget to ensure cost-effectiveness
- Allocate and manage workspace requirements between buildings/floors
- Ensuring that facilities meet government regulations and environmental, health and security standards
- Advise the business of increasing energy efficiency and cost-effectiveness
- Oversee building projects, renovations or refurbishments
- Assist with relocation to new office spaces and to participate in decisions on leasing as appropriate
- Draft reports and make written recommendations
Administration & supervision
- Attend to relevant correspondence, complaints and queries associated with Office or Facilities
- Prepare letters, presentations and reports as required
- Supervise and monitor the work of administrative support employees
APPLICANTS MUST HAVE:
- A Senior Certificate
- A clear Criminal and Credit record
- 7 Years plus proven experience in an administrative role
- Demonstrated reliability and discretion
- 5 years proven experience administering/managing a diverse departmental budget
- 5 years managerial/supervisory experience
- Demonstrated above average competence in Word, Excel, Powerpoint or similar packages
- Experience in managing office Health & Safety Committees and requirements
- Proven experience in Office Leasing, Set Up & Maintenance
